By accessing or using CV-BOT ("the Service"), operated by CV-BOT Ltd, a company registered in the United Kingdom, you agree to be bound by these Terms of Service. If you disagree with any part of these terms, you do not have permission to access the Service.

These Terms apply to all users of the Service, including users who purchase licenses, team members invited to use the Service, and any visitors to our website.

2. Description of Service

CV-BOT is a cloud-based web application that helps recruitment agencies format and transform CVs/resumes into branded templates. The Service includes:

  • Cloud-based application accessible via web browser at app.cv-bot.co.uk
  • AI-powered CV/resume processing and formatting capabilities
  • Template design and management tools
  • License management and user administration

3. License and Usage Rights

Upon subscribing, you are granted a non-exclusive, non-transferable license to use CV-BOT subject to the following conditions:

  • Seat-based licensing: Each subscription permits use by the number of users (seats) purchased
  • Commercial use: You may use CV-BOT for commercial purposes within your organization
  • No redistribution: You may not redistribute, resell, or sublicense access to CV-BOT
  • No reverse engineering: You may not reverse engineer, decompile, or attempt to extract source code from the Service
  • Subscription-based: Access to the Service is provided for the duration of your active subscription

4. Account Registration

To use CV-BOT, you must create an account. You agree to:

  • Provide accurate and complete registration information
  • Maintain the security of your account credentials
  • Notify us immediately of any unauthorized access to your account
  • Accept responsibility for all activities that occur under your account

5. Payment Terms

  • All payments are processed securely through Stripe
  • Prices are displayed in GBP (£) unless otherwise stated
  • Subscriptions are billed on a recurring basis according to your chosen plan
  • You are responsible for any applicable taxes in your jurisdiction
  • Additional seats can be purchased and added to your existing subscription

6. Cancellation Policy

You may cancel your subscription at any time. Our cancellation policy is as follows:

  • Cancel anytime: You may cancel your subscription at any time through your account dashboard or by contacting us
  • Access until end of period: After cancellation, you retain access to the Service until the end of your current billing period
  • Data retention: Your data will remain available for 30 days after your subscription ends, after which it will be deleted
  • How to cancel: Contact us at support@cv-bot.co.uk or cancel through your account settings

7. User Responsibilities

When using CV-BOT, you agree to:

  • Use the Service only for lawful purposes
  • Ensure you have the right to process any CVs or personal data you upload
  • Comply with all applicable data protection laws (including GDPR where applicable)
  • Not use the Service to process data that you do not have authorization to use
  • Not attempt to interfere with or disrupt the Service

8. Data Processing

CV-BOT processes CVs and personal data as follows:

  • Cloud processing: CV data is uploaded to and processed on our secure servers located in the UK/EU
  • Data processor: CV-BOT acts as a data processor on your behalf. You remain the data controller for any CV data you process using the Service
  • Encryption: All data is encrypted in transit and at rest
  • Candidate consent: You are responsible for ensuring you have appropriate consent or legal basis to process candidate data
  • Data deletion: You may delete your stored CV data at any time through the application

9. Intellectual Property

CV-BOT and its original content, features, and functionality are owned by CV-BOT Ltd and are protected by international copyright, trademark, and other intellectual property laws.

Templates and documents you create using CV-BOT remain your property.

10. Disclaimer of Warranties

The Service is provided on an "AS IS" and "AS AVAILABLE" basis. We make no warranties, expressed or implied, regarding:

  • The operation or availability of the Service
  • The accuracy or completeness of any CV processing or formatting
  • That the Service will meet your specific requirements
  • That the Service will be uninterrupted or error-free

11. Limitation of Liability

To the maximum extent permitted by law, CV-BOT Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to:

  • Loss of profits, data, or business opportunities
  • Any errors in CV processing or formatting
  • Service interruptions or downtime

Our total liability shall not exceed the amount you paid for the Service in the 12 months preceding the claim.

12. Termination

We may terminate or suspend your access to the Service immediately, without prior notice, for:

  • Breach of these Terms of Service
  • Fraudulent or illegal activity
  • Non-payment of fees

Upon termination, your right to use the Service will cease immediately.

13. Changes to Terms

We reserve the right to modify these terms at any time. We will notify users of any material changes via email or through the Service. Your continued use of the Service after such modifications constitutes acceptance of the updated terms.

14. Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales, without regard to its conflict of law provisions. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
